How Inventory Sync Works

ExportYourStore keeps your product listings consistent across multiple marketplaces by automatically syncing inventory across all channels. This guide explains how inventory sync works, how to control it, and best practices to avoid overselling.

When a product is linked between your source store and target marketplaces:

  • ExportYourStore monitors stock levels.

  • Any quantity changes in the source store are automatically updated across all linked listings.

  • Sync starts once a product reaches Listed & Synced status, meaning:

    • The listing exists on the target marketplace.

    • It is linked to the source product.

    • It is ready for quantity updates.

A product will not sync if:

  • It has not been exported yet.

  • Its status is not Listed & Synced.

  • SKU is missing or does not match.

  • Product is excluded by sync rules.

  • Quantity sync is disabled.

You can also intentionally exclude products using rules.


Inventory Updates After a Sale

When a customer purchases a product on any connected marketplace:

  1. ExportYourStore receives the order.

  2. The sold quantity is deducted from the source inventory.

  3. The updated quantity is sent to all linked marketplaces.

This process helps prevent overselling across multiple channels.


Sync Timing

Inventory updates are not always instant. Typical behavior includes:

  • Automatic checks run every 2 hours.

  • Some updates happen sooner if the marketplace responds quickly.

  • Updates may take longer depending on:

    • Marketplace API limitations

    • Number of connected channels

    • Number of linked listings

    • Platform response speed


Source Channel Controls Inventory

  • The source store is the main inventory reference.

  • Target listings follow the source quantity.

  • Once listings are synced:

    • A sale on a target marketplace will update the source inventory as well.


Manual Quantity Changes

  • If you manually update stock on your source marketplace:

    • ExportYourStore detects the new quantity and syncs it.

  • Note: Manually deleting a product typically will not be detected unless synced rules allow it or a sale occurs.


Managing Inventory Sync

Inventory sync can be enabled or disabled per channel:

  1. Open Sync Settings.

  2. Locate Inventory Sync and toggle ON or OFF.

  • Enabled: Stock updates automatically across marketplaces.

  • Disabled: Listings remain linked, but inventory does not update.

Troubleshooting Incorrect Inventory

If inventory looks wrong, check:

  • Product status: Must be Listed & Synced.

  • SKU match: Source and target SKUs must align.

  • Sync settings: Inventory sync must be enabled.

  • Delist settings: Zero stock behavior may affect visibility.

  • Platform stock settings: Some platforms require stock management enabled.
